Propman 2025 update: what’s new and what’s next

2025 was a year of practical progress for Grosvenor Systems customers. We launched our first cloud product, delivered improvements you asked for directly, and put compliance updates into Propman so you can stay ahead without adding admin.

PropBI launched: our first cloud product on AWS

The biggest milestone of 2025 was the release of PropBI, our first cloud-based product built on AWS infrastructure.

PropBI is designed to remove the friction of manual reporting. Instead of pulling data into spreadsheets, running separate reports, and stitching together board packs, you can now see portfolio performance in one place through dashboards.

In practice, PropBI helps you:

  • bring multiple data sources into a single view
  • spot trends and underperformance earlier
  • answer stakeholder questions faster
  • reduce the time and effort tied up in reporting.

Gary, our Head of Technical Product and Development Manager, led PropBI from first idea to launch. It’s a meaningful step in our wider cloud journey, and a clear sign of where reporting and insight are heading next.

Ideas Portal: customers shaping the roadmap

In 2024 we opened our Ideas Portal externally. In 2025 it started delivering visible outcomes.

This year we have implemented seven customer-suggested improvements, and a few standouts are already making day-to-day work easier:

  1. Third Party Report Writer – gives teams a stronger, more flexible reporting option than UDRs, meaning less reliance on workarounds and faster access to the insights they need.
  2. All Reports to Excel – lets users export any grid or table in Propman straight to Excel, speeding up analysis, board pack prep, and ad-hoc reporting without manual copying.
  3. Bulk Delete Communications – removes clutter in Document Storage and Email Generation by clearing communications in bulk, saving admin time and keeping records tidy.

Our Product Owner, Natasha Fura continues to monitor the Ideas Portal making sure feedback turns into prioritised roadmap work and releases.


Propman stays ahead of Renters’ Rights and Making Tax Digital

New regulation is landing fast. The Renters’ Rights Act is now law and starts rolling in from 1 May 2026, changing how tenancies, rent increases and disputes are handled.  Making Tax Digital for Income Tax (MTD for ITSA) also begins from April 2026 for the first group of landlords, moving reporting to quarterly digital submissions.

In 2025, we started to update Propman so customers can stay compliant without extra manual work. That includes automatic rent-review timing to align with annual limits, built-in dispute workflows with clear audit trails, seamless tenancy/head-lease updates, and a new rent review letter tool that produces compliant letters in a few clicks.

Events focused on what matters most

In 2024 we ran our first events since COVID and this year acting on customer feedback we ramped it up to run:

  • two tenant web portal events in Manchester and London
  • an full day conference customer event
  • a Q4 customer networking evening
  • online webinars for PropBI launch and the Renters’ Rights update.

Cloud migration dominated customer conversations in 2025. People want practical guidance on what the move means for their organisation, timelines, and day-to-day working. One theme came through just as strongly as cloud itself: customers want more chances to learn from each other. That’s why our final Q4 event was built around peer networking and we’ll keep expanding that in 2026.


Joint Training Sessions launched

We launched Joint Training Sessions in 2025 to give customers a clear, structured way to build confidence across Propman and portals.

We ran 12 sessions this year, helping teams:

  • get confident faster in Propman and portals
  • reduce “how do I…?” support queries
  • onboard new starters more smoothly
  • learn in role-relevant groups (property managers, finance, IT support).

The aim is simple: less time figuring things out, more time getting value from the platform.


Customer win of the year: Managing Estates

One customer story stood out in 2025: Managing Estates’ amazing scale-up using Propman Import Tools.

They’re now managing 190+ buildings, and Import Tools helped them reduce receipting from a full day to around 30 minutes. That efficiency supported fourfold growth without increasing finance headcount.

It’s a strong real-world example of what happens when routine admin gets streamlined: less time spent processing, more time available for service and growth.

What we’re taking into 2026

The priorities we’re carrying forward link straight back to what customers told us they need most:

  1. Keep progressing the cloud roadmap, with practical support to make migration clearer
  2. Build on PropBI, bringing more actionable insight into day-to-day portfolio decisions
  3. Ship more Ideas Portal requests, so the roadmap stays genuinely customer-led
  4. Grow training and community, because confident users get more value from the system.
